SmartSend

SmartSend gives you a one-click way to send regular statements and late fee notices. Moneylender tracks which loans have already received a statement for their current due date, and which loans have been charged a late fee that the borrower hasn't been told about yet. When you click one of the SmartSend items at the top of the Servicing menu, Moneylender builds the list of loans that need sending, picks your usual template, and you just click Send Email or Print Statements.

Setting Up SmartSend

SmartSend needs to know which of your templates is your regular statement and which is your late fee notice. Open Servicing > Manage Templates, edit the template, and on the first page of the template wizard set the SmartSend Type dropdown to Regular Statement or Late Fee Notice. A template can fill only one SmartSend role.

When Moneylender first opens a portfolio created by an earlier version, it automatically flags statement templates by their titles: a title containing “late” and “fee” becomes the late fee notice, and a title containing “statement” becomes the regular statement. Double-check the SmartSend Type on your templates after upgrading—especially if you have several similarly named statements.

If your loans have been running for a while, select all your loans in the main list and use Tools > SmartSend > Mark SmartSend Current for Selected Loans before your first SmartSend. This tells Moneylender that the selected loans are already caught up, so SmartSend will only send for due dates and late fees that happen from now on. Without this step, your first statement batch will include every loan that's currently showing an amount due.

Opting Loans Out of SmartSend

Not every loan in a portfolio should receive statements. Check Disable SmartSend for this loan. on the Loan Settings window and the SmartSend statement and late fee batches will skip that loan—statements can still be printed or emailed to it manually. For many loans at once, select them in the main list and use Tools > SmartSend > Enable SmartSend on Selected Loans or Disable SmartSend on Selected Loans.

The same submenu also has Mark SmartSend Current for Selected Loans (treat the current due date and any late fees as already sent) and Mark SmartSend Not Current for Selected Loans (re-arm the selected loans—useful when a send went wrong and you want SmartSend to redo those loans). Marking not current treats the current due date's statement as unsent, and re-arms late fee notices from each loan's next unpaid due date: a loan that's behind gets a notice for the fees charged since it fell behind, while a loan that's paid current doesn't get one at all.

SmartSend Regular Statements

Click Servicing > SmartSend Regular Statements. Moneylender scans the open loans and includes every loan whose amount due date falls inside the portfolio's look-ahead window (the “use amount due from X days in the future” setting on the Portfolio Settings window) that hasn't had a statement sent for that due date yet.

The template printer opens with your regular statement preselected and the batch of loans in the list. Send the statements by email, printer, or both—emailing first moves any failed deliveries into the print list automatically, the same as regular template printing.

Once a loan's statement is emailed or printed, Moneylender records that the loan's current due date has been covered. The loan won't appear in another SmartSend statement batch until its next due date enters the look-ahead window. So as due dates approach throughout the month, you can click SmartSend Regular Statements as often as you like—each loan gets exactly one statement per due date, and a batch with no loans in it means everyone is caught up.

SmartSend Late Fee Notices

Click Servicing > SmartSend Late Fee Notices. Moneylender scans each open loan's fees account and includes the loan when a late fee was charged after both the last regular statement and the last late fee notice. A fee that already appeared on a statement the borrower received doesn't generate a separate notice.

The template printer opens with your late fee notice preselected. After the notice is emailed or printed, the loan drops out of the batch until another late fee is charged.

How the Tracking Works

Any time a template flagged for SmartSend is emailed or printed—from a SmartSend batch, from the regular Servicing menu, or from Print Any Template—Moneylender updates the tracking on the loans it was sent to. Previewing a template, attaching it to loans, and test emails do not count as sending. Emails only count when the mail server accepts them; a loan whose email failed stays in the batch so it isn't silently skipped.

Moneylender also remembers the template you sent with and preselects it the next time you use SmartSend, so after the first run the whole process is: click the menu item, click send.

Tips
